Your personal information belongs to you. This policy explains what we collect, how we use and protect it, and the choices you have.

Our commitment to your privacy

ELM Programs Inc. (“ELM,” “we,” “us”) respects your privacy and is committed to protecting the personal information entrusted to us. We collect and handle personal information in accordance with applicable Nova Scotia and Canadian privacy law and the requirements of the Disability Support Program (DSP). This policy applies to participants we support, people who contact us, and visitors to this website.

Information we collect

We only collect information that we need to provide and coordinate your supports. Depending on your relationship with ELM, this may include:

  • Contact and identifying details, such as your name, address, phone number, and email.
  • Support and care information relevant to your individualized support plan, including goals, preferences, and safety considerations.
  • Individualized Funding (IF) and financial records where ELM administers funding on your behalf.
  • Records we are required to keep for DSP reporting, service verification, and quality review.
  • Website information, such as basic technical data your browser sends when you visit this site.

How we use your information

We use your personal information to deliver and coordinate your supports, develop and review your support plan with you, administer and report on Individualized Funding where applicable, meet our obligations to the DSP and under the law, respond to your inquiries, and improve the quality and safety of our services.

How we protect your information

Participant records are kept secure, confidential, and audit-ready. Access is limited to staff who need the information to do their work, and all ELM staff are bound by confidentiality obligations. We maintain physical, organizational, and technical safeguards appropriate to the sensitivity of the information we hold.

When we share information

We do not sell your personal information, and we do not share it for marketing. We share information only with your consent, or where required or permitted by law and our DSP obligations. Where it helps you access other supports, we make warm referrals to other organizations only with your consent. Where ELM is supporting you alongside a family member, community agency, or DSP Care Coordinator, we share information with them in line with your consent and your support plan.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct information that is inaccurate, ask questions about how your information is handled, and withdraw your consent (subject to legal and program requirements that may apply to records we are required to keep). We will respond to your request and explain any limits that apply.

How long we keep information

We retain personal information only as long as needed for the purposes described in this policy, or as required by DSP and legal recordkeeping obligations, after which it is securely disposed of.
